Moving Candidates Between Pools

Overview

While the Recruitment, Assessment, and Selection policy dictates that candidates need to apply for a recruitment on their own in order to be fully considered, situations may arise where it's necessary to move a candidate's materials between different applicant pools. 

Acceptable Use Cases

  • When a candidate applies for one Companion Requisition and should be moved to the other
  • When a School/College/Division cancels, updates, and reposts a Job Requisition
    • In both above cases, the candidate(s) being moved must meet the required qualifications for consideration

Unacceptable Use Cases

  • Moving a candidate between Job Requisitions that are clearly and obviously not related
    • e.g. Moving a candidate from an HR Generalist Job Requisition to an Associate Professor Job Requisition
  • Moving a candidate to a different Job Requisition in a different Supervisory Organization

Moving Candidates
Step 1

In your Job Requisition workspace, identify the Requisition where the candidate currently sits, and the destination where you'd like to move them. In this case, we're moving a candidate from JR10000075 to JR10000156.

Step 2

Locate the candidate, click the checkbox next to their name, and select the three dots at the bottom of the screen. Step 3

Enter the Job Requisition you'd like to move them to in the appropriate field. Click OK.

Step 4

You will see a confirmation page, where you can click on Awaiting Action to see the recruitment stage the candidate is in. Click Done to return to the original Job Requisition. You can also navigate to the destination Job Requisition (JR10000156) to confirm that the candidate was moved successfully.

Step 5

Since there is no automated message letting the candidate know they've been moved, it's recommended that the Primary Recruiter contact the candidate to let them know this change was made. The Primary Recruiter can click the checkbox next to their name and click "Send Message" to accomplish this via Workday. (Either in the destination Job Requisition, or while dispositioning the candidate from the original Job Requisition)
