Tip Sheet: New Hire of Associate Professor or Professor

If the Faculty Hire is initiated using a Job Requisition the Add Academic Appointment Business Process will kick off as a Sub Process and a To Do will be assigned and will appear in My Tasks in Workday. If the Add Academic Appointment To Do is not triggered, first double check it is not in process, and if it is not, add by navigating to the Job Profile > Actions > Academic Faculty > Add Academic Appointment. More information can be found in the Managing Academic Appointments in Workday Job Aid. 

Before processing, make sure they have received tenure.

Key Details to Check and Update

  • Start date: Should match date tenure received, or if tenure received prior to start date, start date in appointment letter
  • Academic unit: Must be a tenure-granting unit (Tableau)
  • Employment position: Make sure the correct employment position is selected

Appointment Information

  • Track type: Tenured/tenure track
  • Reason: Needs to be Add Academic Appointment > New Appointment > Hire
  • Rank: Associate Professor or Professor
    • Note: Not required in initial entry, but needs to filled out
  • Appointment Specialty: Only fill in if Dual Hire or RISE or Mentoring Initiative hire (drop down menu with many options)
  • Title: Created by choosing the appropriate rank
  • Identifier: Make sure correct (Tenure-Primary vs Tenure-Joint)
  • Roster percent: 100% if only tenure-primary; otherwise Tenure-Primary and Tenure-Joint should equal 100%

  • Academic Review Date: This is the Post Tenure Review (PTR) date, which is 5 years from tenure/start date.

Tenure Information

  • Tenure Track Eligible: Yes
  • Tenure Home: Should be the same as Academic unit unless this is a joint tenure appointment
  • Tenure Status: Tenured
  • Tenure Award Date: Date tenure awarded
