What is changing for Remote Work Agreements on July 7?
Starting on July 7, Remote Work Agreements will be processed in Workday. While most areas around remote work will remain the same, it is important to note the following:
What is changing
- Beginning July 7, Remote Work Agreements will be known as Flexible Work Arrangements in Workday.
- Employees will submit their Flexible Work Arrangement requests through Workday.
- Supervisors, HR professionals, and other necessary approvers will approve employees' requests through Workday.
What stays the same
- UW–Madison’s Remote Work policy (UW-5087 Remote Work) will not be changing directly as a result of Workday implementation.
- All Remote Work Agreements/Flexible Work Arrangements are to be resubmitted on a fiscal year (FY) basis, which starts on July 1 and ends June 30. As a reminder, this policy change was effective in 2024.
- The use of the term "flexible work arrangement" is not to be confused with "workplace flexibility," the definition and use of which remains the same.
- Those seeking flexible work arrangements are expected to continue following all conditions of the policy for in-state, out-of-state, and international remote work.
Current state/schedule/how to prepare
- Employees should not submit a Remote Work Agreement for FY26 (July 2025 - June 2026) in Human Resource System (HRS).
- Employees will have view-only access to Remote Work Agreements in HRS after June 14.
- No new requests for FY25 (July 2024 - June 2025) will be processed after June 14 in HRS.
- Annual Remote Work Agreements/Flexible Work Arrangement requests in Workday must occur on or after July 7.
Transition period
- HR Leads are responsible for communicating timelines and expectations to their departments
New schedule/future state
- Beginning July 7 and going forward, Flexible Work Arrangement requests must be processed in Workday. Schools, colleges, and divisions are responsible for ensuring that all requests are processed in a timely manner and in accordance with the fiscal year calendar.
- Employees will have until September 30, 2025, to submit their FY26 (July 2025 - June 2026) Flexible Work Arrangement via Workday.
