UW–Madison will implement a 9 over 12 pay option in academic year 2026-2027. This option will allow faculty and staff on 9-month appointments to distribute their salary over a 12-month period to receive income throughout the year.
The Universities of Wisconsin will implement 9 over 12 with Workday's go-live in July 2025. Some universities, including UW–Madison, will delay implementation until 2026 to reduce the amount of change during a time of uncertainty. This timing also allows the Universities of Wisconsin to address any workflow challenges before UW–Madison implements 9 over 12.
Faculty and staff on 9-month appointments will continue to have the option to split their direct deposits to reserve pay for summer months.
As part of the transition to Workday, there will be updates to how annualized compensation and salary spread are managed. Key changes include:
-
Direct deposits will be managed through Workday instead of Human Resource System (HRS).
-
Workday allows up to five separate accounts for direct deposit.
-
Employees can split paychecks into accounts by a specific dollar amount or by a percentage.
-
Direct deposit elections can be changed at any time. Changes will apply to the next payroll calculation and will be reflected in the following paycheck.
For more information, visit the Universities of Wisconsin Set Up Payment Elections (Direct Deposit) job aid. Additional information will be communicated in 2026.
For those in a 9-month appointment, the Office of Human Resources (OHR) will share specific instructions on how to set up a direct deposit for annualized compensation and salary spread in June 2025.
