Academic HR Cutover Dates

This document provides Academic HR-related cutover dates in preparation for Workday go-live. Please keep in mind, work is still being done and information may change.

Review pending overloads

  • If overload was paid, finish approvals
  • If overload was never paid, cancel overload

Review JEMS Rate and Title transactions

  • Cancel if not needed or moving forward before Workday go-live

Review current position vacancy announcements (PVLs) in JEMS PVL to determine:

  • If PVL should be canceled
  • If PVL should be finalized

Deadline to have Academic Information (tenure, etc.) entered into HRS​

  • Any Academic related entry that is effective between 4/1 and 6/28 should be entered into HRS by 3/31/2025
  • All transactions that are effective after 6/29/2025 will be held and manually entered into Workday after 7/7/2025

June 12, 2025 Retro Transaction Deadline (transactions from 5C or before) must be entered by 4:30PM Department/Division
June 15-28, 2025
  • Last Pay Period in HRS-6B 
  • Limited critical/essential HR transactions should be entered into HRS
  • Any transaction effective between 6/15 and 6/28 must be fully entered (HRS via JEMS) in advance by no later than 6/30 at 4:30PM

June 17, 2025 First snapshot of HRS data to be loaded into Workday ATP Team
June 19, 2025 Last day to Division Approve/Delegation Approve a PVL in JEMS Department/Division
June 20, 2025 Last day to Division Approve/Delegation Approve a PVL Waiver in JEMS Department/Division
June 25, 2025
  • Last Day to Division Approve a JEMS Rate and Title transaction effective through 6/28/2025
  • Last Day to submit and approve an overload in the overload system effective through 6/28/2025

  • Latest effective date converted to Workday 
  • Last day to use Heart Tool for Summer 2025

  • First Pay Period in Workday begins (7A, 6/29-7/13)
  • Transactions effective 6/29/2025 and after will not convert to Workday even if they are entered into HRS in advance

  • ATP Team will catch up on transactions effective 6/15-6/28 
  • Some EIBs for transactions effective 6/29 will be loaded during this time (grad assistant increases)

  • Last day for 6B HR transaction entry into HRS, must be entered by 4:30PM​
  • HRS will become View Only at 4:30PM
