Creating Interim Appointments in Workday

Overview

Interim Appointments are  Academic Staff, Limited, and University Staff terminal appointments and typically last up to two years. They are typically reserved for interim high-level administrative positions, other than faculty, while a recruitment is conducted to fill the role permanently. They can also be used to appoint current employees into a terminal position to perform temporary responsibilities. 

Creating and Managing Interim Appointments
Step 1 Create a waiver requisition for the Interim Appointment using the reason Temporary Acting Appointment. 

Step 2

Use the Add Additional Job process to hire the individual into the Interim Appointment.

Put their (former) Primary Job on a Leave of Absence (LOA) by navigating to their Worker Profile and selecting Actions > Time and Absence > Request Absence for Worker. The reason is Temporary Reassignment. This process automatically initiates a primary job change.

Note: The LOA dates should match the start/end dates for the Interim Appointment.

Step 3

Once ready to recruit for a permanent position, do so through creating and posting a job requisition.

Regardless of the eventual finalist and hire, the Interim Appointment position should not be used for the permanent position and will close once a full-time hire is made.

Step 4

Once the Interim Appointment is no longer needed, follow the End Additional Job process. (Note: Depending on the timing of the permanent replacement's hire, you can choose to let the Interim Appointment run through its end date.)

Return the employee from their Leave of Absence by navigating to the Worker Profile and selecting Actions > Time and Absence > Return Worker from Leave.
