Edit Job Requisition

Overview

This document outlines the process of editing an existing job requisition in Workday. If a proposed change impacts the job posting, consult the Job Posting Revisions Guide to determine if the desired change is allowable under policy.

Security Roles

Initiator: Recruiter (Supervisory), Primary Recruiter, Recruiting Coordinator (Supervisory), Search Committee Chair UW
Approver(s): Position Budget Manager, HR Partner (Supervisory), Compensation Partner (Local) (for extraordinary salary ranges only)

Steps to edit a job requisition
Steps 1-3

  1. From the Workday Home Page, click on the Job Requisitions icon on the Recruiting sidebar.
  2. Select the Job Requisition to Edit.
  3. Click Open detailed view.

The detailed view will open in a separate tab. Click the Related Actions button, then hover over Job Change, and select Edit Job Requisition.

Step 5

Click the Pencil icon in the applicable section of the Job Requisition to make edits.

Step 6

Click on Recruiting Information then click the pencil icon of Recruiting Details and choose a Reason for editing the Job Requisition. Consult the Edit Reasons table below.

Step 7

Enter a comment at the bottom of the Summary page prior to submitting.

Step 8

Click Submit. Once submitted, the task routes based on the reason selected. Please refer to the table below to see if the Primary Recruiter will receive a task to review if the Job Posting should be unposted and reposted.

Note: Click Save for Later if you would like to save your current progress before exiting the task. 

Edit Reasons

Workday has built-in edit reason codes to use for a variety of reasons you may need to edit a job requisition. The Job Posting Revisions Guide provides a recommended edit reason you can use if the proposed change also impacts the job posting.

Add Attachment

This reason should be used when adding things that would typically be saved in a recruitment file, such as interview questions, screening tools, and other documents to support the job requisition.

The Recruitment Efforts Plan (REP) is also required in this field. Best practice is to upload the REP when you create the job requisition, but you can upload it or a revised version of it later as well.

  • The documents uploaded here appear within the job requisition. The documents are not visible to candidates.
  • In Workday, go to the Attachments page and enter applicable attachments.

Administrative - Budget Approval Needed

Selecting this reason will open additional budget reasons:

  • Update Compensation
  • Update Number of Openings/Vacancies
  • Update Supervisory Organization
  • Other

Note: If there is an active Job Posting, a task is sent to the Primary Recruiter to review to see if the Job Posting should be unposted and reposted.

  • Position Budget Manager
  • HR Partner (Supervisory)
Administrative - HR Approval Needed

Selecting this reason will open additional reasons that require HR approval:

  • Update Job Application Template
  • Update Job Details (application deadline, advertised salary, advertised FTE, etc.)
  • Update Location
  • Update Qualifications
  • Update Questionnaires
  • Other

Notes:

  • If the default Job Application template needs to be changed, the Primary Recruiter should Edit Job Requisition prior to posting the job. 
  • If there is an active Job Posting, a task is sent to the Primary Recruiter to review to see if the Job Posting should be unposted and reposted.

HR Partner (Supervisory)

Update Role Assignments

Use to update or add any of the following roles on the job requisition:

  • Primary Recruiter
  • Search Committee Chair
  • Search Committee Member
  • Employment Agreement Approver (this role can only be assigned to one person)

Update Typo in Job Posting

Use to update minor changes (typos, misspellings, errors) that will not affect a reader's understanding of the role or terms of the appointment (salary, FTE, etc.)

Note: If there is an active Job Posting, task sent to Primary Recruiter review to see if Job Posting should be unposted and reposted.
