The I-9 Coordinator UW security role performs transactional I-9 responsibilities for assigned supervisory organizations ('sup orgs'). Processing I-9 forms is a critical part of hiring and onboarding new employees, and must be completed correctly within a new employee's first three days. To ensure consistent outcomes across campus, the I-9 Coordinator role is typically limited to school, college, and division HR professionals. However, schools, colleges, and divisions can allow student hourly (SH) employees to have the I-9 Coordinator role and process I-9 forms if they meet these criteria:
- The SH employee must report to the school, college, or division-level HR unit.
- The SH employee must also have the Student Hourly Process Coordinator security role.
- The SH employee and the school, college, or division HR lead must complete a processing agreement before assigning the security role.
You can access a blank copy of the I-9 Processing Agreement for Division HR and Student Hourly Employees here: I-9 Processing Agreement for Division HR and Student Hourly Employees. Once the form is completed and signed by the school, college, or division HR lead and the SH employee, please email a copy to HRIS@ohr.wisc.edu.
Once the form has been signed by OHR and returned to the HR lead, the security roles can be submitted in Workday. For questions regarding the processing agreement or the I-9 Coordinator security role, please reach out to HRIS@ohr.wisc.edu.
