What is changing 

Academic Appointments

  • Academic Appointments (Faculty Tenure Appointments-tenure/tenure-track, Faculty Named Professorships, Joint Governance Appointments for both staff and faculty) will be entered by the S/C/D and reviewed by the Office of the Secretary of the Faculty in Workday
    • Current state: the Office of the Secretary of the Faculty completes the entry into HRS
  • The Individual Division Selection will be completed by Faculty in Workday during the recruitment and hiring process

Short Work Break for Academic Compensation Basis 

  • Academic Compensation Basis appointments (C-basis) will no longer need to be placed on a Short Work Break (SWB) over the summer starting in May 2026 
    • The academic calendars are built into the system for the campus where they are employed 
  • This population will be placed on SWB in May 2025 in HRS, return from SWB rows in August are not needed, and should not be manually entered in HRS (or Workday) 

What is not changing

  • The intent of Faculty and Instructional Academic Staff Policies
  • Process for requesting and approving a Faculty Sabbatical
    • Still being requested through the online submission program
    • Entry of the Sabbatical (leave) once approved will be completed in Workday
  • Performance Reviews for Faculty and Instructional Academic Staff will continue to be processed using current systems

How to prepare 

  • Ensure Academic Appointments are up-to-date in HRS by 3/31/2025.
  • Get as many summer session/service jobs as possible that begin prior to 6/29/2025 approved and entered into HRS, ideally by 6/14/2025.
  • Ensure Contract Dates in HRS are up to date. The Contract Dates from HRS will convert to Workday.
