What is changing for Onboarding
With the implementation of Workday, the onboarding experience for new employees will be more consistent, forms and documentation will be completed electronically, and new employees, managers and HR partners will be able to track onboarding tasks more efficiently. New hires will have access to an onboarding dashboard where they can track their progress through onboarding steps, and find important contacts and links to information relevant to employees.
What is changing
- New hire paperwork will be captured electronically and auto-populate data collected during recruitment and hiring.
- Campus and welcome information is provided on the Onboarding dashboard.
- New hire tasks are delivered directly to the employee’s inbox and they can track their progress as they complete all their onboarding tasks.
- Managers/HR will be able to run reports on completion status and outstanding tasks for new hires.
- Information from Student Information System (SIS) will flow into Workday, improving the hire process of student employees.
What stays the same
- How new employees are informed and complete activation of NetID and MFA DUO remain the same. Activation of credentials is required to access Workday.
- No change to New Employee Onboarding Policy, UW-5015, stating S/C/D are responsible for maintaining an onboarding program.
- Our commitment to onboarding as a year-long, human experience that plays a key role in employee retention vs. orientation. Orientation is the first week of transactional tasks related to onboarding, which Workday will make more efficient and easier to navigate.
- New Employee Orientation (NEO) and other new employee offerings will continue to be available.
How to prepare
- S/C/D are advised to review current onboarding related materials for needed updates. This includes divisional new employee websites, orientations and printed materials.
- There will be job aids related to onboarding set-up that include template messaging for managers to use for welcome messaging based on new employee appointments. S/C/D may want to create their own supplemental materials and guidelines specific to their areas.
