Overview
Each Job Profile has a distinct list of job responsibilities. When you have a vacancy, you should determine the responsibilities you need to be performed, and select the corresponding Job Profile and job title. In rare cases, you may determine you have flexibility in the work that needs to be performed. For example, you may have a vacancy in a team of accountants. You know you need accounting work to be performed but are flexible on whether those responsibilities align with Accountant I or Accountant II. Therefore, you may choose to recruit for both levels on the same Job Requisition. When your recruitment process is complete, and you have chosen a finalist, you will select the appropriate title.
Guidelines
- You may only recruit with multiple job titles when the titles are in the same title set and have multiple job levels with the same FLSA status
- Examples:
- Accountant I, Accountant II, Accountant III
- Information Security Analyst I, Information Security Analyst II, Information Security Analyst III
- Examples:
- You may also recruit with multiple job titles if you're recruiting for one title, but there's a chance that the FLSA status may change based on the salary/schedule the employee works
- Example:
- HR Generalist, HR Generalist NE
- Example:
- Examples of when you may not recruit with multiple titles on the same requisition:
- Financial Specialist III and Accountant I (not in the same title set)
- IT Help Desk II and IT Help Desk III (different FLSA statuses and employment classifications)
- Academic Advisor (in a title set with only one level and cannot be recruited with other titles)

When recruiting with multiple job titles on one requisition, the position will post to the employment website with one business title and one set of qualifications. It's important to be mindful of this when creating the Job Requisition and considering how you will evaluate candidates' materials for each level being recruited for.

A good indicator of whether it is appropriate to recruit with multiple job titles is to assess the business title and required qualifications. If the business title or required qualifications would change based on the title of the chosen finalist, it is likely your needs are distinct enough that multiple requisitions, known as companion requisitions, may be more appropriate. In Job tab, under Job Details, select one job profile in Job Profile. Add additional Job Profile(s) in Additional Job Profiles field. The Job Description Summary will default to whichever job profile was listed in the first field. |

In Job tab, under Job Details, in Job Description field, include language indicating there are multiple titles such as:
If there are differences in duties/responsibilities based on the level the candidate will be hired at, that should be detailed accordingly. |

Under the Compensation heading on the Job Qualifications and Additional Details for Job Posting, you could include potential salary breakdowns based on the level the candidate would eventually be hired at. |

Continue through the Job Requisition creation and posting process. Note that the details on the Compensation tab will default to whichever was the first job profile entered on the Job tab. When previewing the Job Posting, note that the Job Profile and Key Job Responsibilities will default to whichever was the first job profile entered on the Job tab. You can use the Edit Job Requisition button to make any changes so that the different levels of responsibility/pay are as transparent to the applicant pool as possible. |
Out of Scope Titles Note |
When creating a requisition for out of scope titles, such as Faculty (Assistant Professor, Associate Professor, and Professor), you will need to create a Position Description that encompasses all titles, since these will not default in from the system. |
