Student Hourly Lateral Move/Transfer to New Student Hourly Job

This KB details how to transfer a Student Hourly Employee from one job to a new Student Hourly job with no overlap between jobs in the following Job Profiles: 

  • SH001-Student Help
  • SH004-Student Help Residence Hall 

Who Can Initiate?

HR Executive (Local), HR Executive (Supervisory), HR Partner (Local), HR Partner (Supervisory), and Student Hourly Process Coordinator UW 

Student Hourly Lateral Move/Transfer to New Student Hourly Job

  1. From the Workday Home Page, search for and select the name of the student employee in the search bar.

  2. From the Workers Profile, click Actions.

  3. Hover over Job Change and select Start Job Change.

    • Note: If the worker has more than one job, select the job this transaction is for.

  4. Select a Reason under What do you want to do?

    • Select Lateral Move/Transfer

  5. Click OK.

  6. Under When do you want this change to take effect?:

    • Select Next Pay Period or Select Date and enter date.

  7. Confirm/Enter the fields in the Transfer Information section:

    • Which team will this person be moving to?

      • Search for and select the Supervisory Organization that the employee will be moving to.

      • Note: If you know the manager's name, enter it into this search. All supervisory organizations that an individual manages will display. Make sure to select a Sup Org that is for SH, indicated by “_SH” in the name

    •  Who will be this person’s manager after the move?

      • The supervisor name will populate based on the Supervisory Organization selected.

  8. Confirm/Enter the fields in the Job Details section:

    • What will this person’s new job profile be?- SH001, SH004.

    • What is the job title?: Will populate from Job Profile.

    • What is the business title?:Will populate from the Job Profile but can be edited.

    • Select a Pay Rate Type: Will populate from the Job Profile as Hourly.

    • Optional: Additional Job Classifications

      • Enter Work Study Job Type information in this section (if applicable) for the new job.

  9. Confirm/Enter the fields in the Administrative Details section:

    • Employee Type: Temporary (Fixed Term)

    • Employee End Date: Will pull in the end date from current job. Update as needed for the new job.

  10. Confirm/Enter the fields in the Work Location section:

    • Where is the new location?: Enter Location code for new job

    • Optional: Select a work space at this location

  11. Enter/Confirm the fields in the Worker Time section:

    • What is the time type for this position?: Will populate as Part-Time

    • Scheduled Weekly Hours: Populate 0 for SH

    • Working FTE: Leave Blank for SH

  12. Review the information in the Academic section.

    • Annual Work Period: Leave Blank for SH

    • Disbursement Plan Period: Leave Blank for SH

  13. Optional: Enter a Comment.

  14. Optional: Add any Attachments.

  15. Click Submit.

    • Note: Click Save for Later if you would like to save your current progress before exiting the task.

  16. Enter/Confirm the fields in the Change Organization Assignments Other section:

    • Select Legacy: Leave Blank for SH

    • Select Function

    • Select Campus Security Authority (CSA)

    • Select Compensation Basis: 12 Month

    • Select Position of Trust

  17. Click Next

  18. Enter/Confirm the fields in the Compensation section:

    • Click the ellipsis and select edit

    • Confirm or edit the hourly amount and click save

  19. Click Next

  20. Review and Submit

    • Click Submit
