Transition Period Actions for Leave of Absence

This document provides leave of absence related transition period actions in preparation for Workday go-live. Please keep in mind, work is still being done and information may change.

Process Date of Completion

Identify, review, and confirm current employees on leave of absence in HRS

Now-June 14, 2025

  • Run OBIEE reports to help in identifying new and updated entries:
  • Determine and make any entries to HRS now if there were any changes with effective dates up to June 28 or earlier. 
  • Any future effective dates after June 28 will not move into Workday. 
June 28, 2025 

Limited critical HRS transactions are entered in HRS

June 15-28, 2025

Immediately enter new, returns, or updates for leave of absence information into HRS.

June 28, 2025

Track employees on a leave of absence

June 29-July 6, 2025

SCDs will need to track employees on a leave of absence.

  • Use Time Off Cutover Tracker to record time off and leave of absence.
  • Maintain documentation of leave of absence and time off used to remain in paid status. 
  • Continue to process, communicate, approve, and or deny any leave of absence requests as they occur. 
July 6, 2025

Once live in Workday 

  • Confirm employees on leave of absence were converted from HRS. 
  • SCDs will need to enter any leave of absence activity for employees beginning with June 29, 2025 and forward.
    • Including:
      • New leave of absence
      • Return from leave of absence
      • Entering time off to remain in paid status
      • Retro leave of absence changes with effective dates prior to June 29, will require assistance from Office of Human Resources
