Managing No Leave Taken

This guide provides information and tips to help you manage employees who need to report No Leave Taken. 

This applies to: All salaried and hourly, exempt employees who are eligible for time off must report either time off or No Leave Taken for every month they are actively employed. 

Why This Matters 

  • The deadline to submit any missing leave reports for the previous fiscal year is September 30. 
  • Reporting time off for any one position will meet the time off requirement for all positions held that month. 
  • If the only time off reported is a system-loaded legal holiday, the employee must still submit a No Leave Taken report for that month. 
  • 9-month employees with a summer appointment only need to report time off or No Leave Taken for one month during the summer (June–August) to meet the requirement. 
  • Faculty, Academic Staff, Limited appointees, must report No Leave Taken or time of taken each month to avoid a risk of a permanent sick-leave reduction. Review the Sick Leave Policy

 Approval and Tracking

In Workday there are several ways to approve and track No Leave Taken for your employees,

It is a best practice for managers to run the Missing Leave Report every month and follow up with employees who have not reported any time off.

TIP: You can schedule the Missing Leave Report (UW) to run automatically each month. You will receive a notification when the report is ready and you will go to My Reports in Workday to view it. For instructions on how to schedule a report review the KB Schedule Custom Reports – Employee. 

Important Considerations: 

  • Once an employee submits a No Leave Taken report, it must be approved by the manager/supervisor.
  • The Missing Leave Report on the employee’s Worker Profile will show a green checkmark for each month the requirement is met. 
  • All exempt, time off eligible employees must have a green checkmark for every month of the year. 
  • Employees who are missing a report for any month will receive an alert in Workday and an email on the second Wednesday of each pay period.
