Overview of Workday Apps for Time Worked and Time Off

Supervisors and managers will use several Workday applications to manage daily tasks related to time and time off requests. This page provides a central resource to help you understand and navigate these tools effectively. 

   

Time and Scheduling Hub

This hub is your main workspace for managing time and time off. It supports tasks such as reviewing, editing, and approving employee time entries and time off requests. 

Get Started 

Begin by reviewing the Time and Scheduling Hub KB article to understand the layout and available features.

Key Features

  • Overview Tab: displays the tasks that need review and are in progress for a manager’s direct reports. 

  • Review and Approve Time: review and approve time for employees who match the filters you selected.

  • Edit and Approve Time: allows you to edit and approve time for workers. 

  • Direct Reports: allows you to view time-related details for individual employees who report directly to you. 

  • Operational Analytics: you can view scheduled vs. actual hours for an employee and run reports on your team's time and time off data.

  • Team Absence Calendar: you can view an absence calendar with data from all employees in a supervisory organization, you can approve, edit, or cancel time off from this absence calendar.

Time and Absence Dashboard

This dashboard is located within the Time and Scheduling Hub. It provides a clear view of how your team is using the Time Tracking and Absence (time off)  modules. It helps you make informed decisions based on real-time data.

Begin by reviewing the Time and Absence Dashboard KB article to understand how to access the dashboard and learn about the available features on the dashboard. 

TIP: You can add the dashboard as a shortcut to your main Workday menu. 

Key Features

  • Time Tab: will display workers' time and other time tracking tasks and reports. 
  • Absence Tab: will display workers' time off requests and other absence tasks and reports. 
  • No Leave Taken Tab: will display a review of missing leave reports. 

My Tasks (Workday Inbox)

“My Tasks” is your Workday inbox. It functions like an email inbox and helps you stay organized when managing employee requests.

Get Started

Start by reviewing the My Tasks and Notifications in Workday  KB article to understand the basics of My Tasks. 

Why It Matters

You can use My Tasks to:

  • Filter, view, and approve time entries and absence requests.

  • Manage delegation and retroactive or future-dated requests. 

Important Notes for Supervisors

  • If an employee submits a full week of time you will receive a task. If there is an error on one day, return the entire week with a comment explaining the issue.

  • For current payroll periods, use the Time and Scheduling Hub to approve time and time off.

  • Use My Tasks for items outside the current payroll cycle (e.g., retroactive changes or future requests).

  • Watch for time entries exceeding 12 hours in a day and follow up as needed.
