View and Assign/Customize a Work Schedule on Behalf of the Employee

This page provides guidance for supervisors on how to view, assign, and manage an employees work schedules in Workday. 

Understanding Work Schedules in Workday

  • All employees must have a work schedule in Workday. A work schedule will be needed so employees can request time off, this is because the daily default quantity is equal to the work schedule that is set in Workday.  
  • Work schedules are important to review especially with new hires during their onboarding process, read below for the two different situations that may occur with the different actions on work schedules: 
    • If an employee does not have an assigned work schedule, then they  will automatically get a default work schedule. If their job details change in a way that makes them eligible for a different schedule, Workday will automatically update their schedule to match. 

    • If an employee has been assigned a custom or standard schedule, and their job details change then their work schedule will not change automatically. You will need to review and update it manually if needed, especially when the employee would like to request time off. 

Important: Employees are not paid based on their schedule in Workday. Time worked will not automatically populate from the schedule into the timesheet. However, some non-exempt employees may have the option to auto-fill their timesheet based on their schedule.

How to View and Assign a Work Schedule

Viewing a Work Schedule

To check an employee’s current work schedule:

  1. In the Workday search bar, type View Schedule for Worker.

  2. You can also use View Worker’s Time Eligibility. 

Assigning or Customizing a Work Schedule 

In Workday as a manager/supervisor you are able to assign one of the standard work schedules or completely customize an employee's work schedule. Follow the How to Assign a Work Schedule KB for instructions.

Here is an example of when a manager/supervisor would customize a work schedule in Workday. 

Employee Type: University Staff Nonexempt with an 0.5 FTE

Employee Schedule: Works Tuesdays and Wednesdays 8:00 am - 6:00 pm 

Action to Take: As a manager/supervisor customize the employee's work schedule adding Sunday, Monday, Thursday, Friday and Saturday as OFF and Tuesday and Wednesday 8:00 am - 6:00 pm. This will also allow the employee to take time off on Tuesday and or Wednesday for the full day at 10 hours.
