Overview Workday HR security roles
HR professionals are assigned Workday security roles. Workday is a workflow approval system, so security roles are assigned based on who will initiate, review, and approve steps in business process. Security roles assign permissions, grant access, and determine course enrollment for Workday training. Training does not grant system access.
HR security roles have been assigned by HR Leads at the school, college, and division level. Security role mapping is not final for all individuals and may change. The Office of Human Resources recognizes HR professionals may have questions. HR professionals are encouraged to talk with the managers and HR Leads if they have additional questions.
Why do I not have all the HR security roles?
Workday is a workflow approval system, so security roles are assigned based on who will initiate, review, and approve steps in business process. Your security role access aligns with the functions you will perform in Workday. Granting greater system access to those who are not directly involved in a business process results in unnecessary notifications and improper people listed in business processes which poses a security risk.
I do not think that I am mapped to the correct role(s). What should I do?
Contact your HR manager. Your HR manager should have a conversation with their HR Leader. HR Leads work with the Office of Human Resources (OHR) to grant appropriate access. As more is learned about security roles in Workday, OHR will continue to share that information with HR leaders.
Are the security roles final? Will these change? If so, how will I know?
No, security role mapping is not final for all individuals and may change for some HR professionals. Individual staff mapping will continue to be refined as we participate in Workday training. The training window will allow the HR Leads of each school, college, and division to see whether the current mapping meets their expectations, and where changes need to be made prior to go live. As role changes are needed prior to go live, HR Leads will submit proposed changes to the Office of Human Resources (OHR). When a role change is approved, this should be communicated to you by your supervisor.
I have heard roles are not final. How can I ensure I get the correct security access?
During the training period, HR professionals will have access to Workday to learn how to perform their work functions. If you feel that you do not have a role needed to perform your work, talk to your HR manager (see above question, “why do I not have all the HR security roles?”).
Are there view only access roles?
Yes, there will be several view- only security roles. HR security roles will have an HR Analyst role provisioned to them (no request process involved). Additional view roles (for example HR for Finance roles, Finance for HR roles) are being designed by ATP and will be mapped when ATP finalizes the roles.
