This toolkit helps supervisors communicate the multilingual multishift Workday training to their employees before training starts on July 21, 2025.
Supervisor Registration:
Register to attend a preview of the Workday in-person employee training. Register for one of two sessions:
Key Supervisor Responsibilities:
- Confirm employee training dates, times, and locations.
- Partner with division HR to register employees.
- Attend the manager and supervisor preview session on July 17.
- This session is not training for managers to use Workday. It is available to preview employee training sessions.
- Watch six short videos in the Training for Helping in a Computer Lab series.
Employee training registration process:
Your school, college, or division point of contact will work with you to register employees for the training session.

What employees should bring to each session:
- Wiscard
- NetID login and password (employees should practice logging into MyUW before attending the training)
- Optional: smartphone and smartphone charger (if they want to use Workday on their phone)
Accommodations:
If an employee needs an ASL interpretation or other accommodation, email accesscenter@ohr.wisc.edu as soon as possible. Requests should be made no less than two weeks before the event. We will attempt to fulfill requests made after this date but cannot guarantee that they will be met.

Use the strategies below to prepare for discussions about in-person employee Workday training
Before Training
- Supervisors are to complete Workday Fundamentals: Workday for Managers training course.
- Review Workday Fundamentals: Workday for All Employees training course.
- Review the Workday in-person training sessions webpage.
- Work with division HR to determine requirements for training.
- Register and attend the preview of the Workday employee training.
Set expectations with employees
- Share information about Workday. Offer support and availability.
- Reinforce a learning mindset. Learning a new system takes time and patience.
- Ask about preferred learning languages and don’t assume translation needs. Training is available in English, Spanish, Hmong, Tibetan, and Nepali.
- Work with your local HR professionals to schedule employees into training sessions.
- Communicate training times and dates. Help employees plan their schedules accordingly. Provide employees with time to travel to the training. Employees should arrive 10 minutes before their training.
- Encourage employees to attend.
- The Office of Human Resources will track attendance during the session.
- Confirm employees know their NetID and password before the training. Find instructions to log into MyUW here. Translations available.

Introduction to Workday:
- Starting in July 2025, you will use Workday to request time off, review payslips (earning statements), update personal information, view leave balances, and much more.
- All employees at the university will use Workday.
- Employees will access Workday using MyUW.
What is Workday?
Workday is a computer software platform to view and manage your employee information, benefits, time off, and more.
Value add of Workday:
- With Workday, you can:
- View or update your personal information.
- See your benefits.
- Change your direct deposit accounts and tax withholdings.
- Use the optional mobile app.
- View your time-off (leave) and absence balances.
- Confirm pay, benefits deductions, and tax withholding accuracy.
Preparing for Workday:
- To help you transition smoothly to using Workday, we are offering an in-person training series for employees who do not use a computer in their work. These sessions will guide you step-by-step on how to use Workday effectively on both your computer and/or smartphone.
- You will attend three training sessions over the course of three weeks.
- In these sessions, you will learn how to:
- Log into Workday
- View your payslips, leave balances, and benefits information
- Update your W2 and W4, and apply for internal positions within UW–Madison (including Blue Collar Multishift)
- Accept lump sum payments
- The three training sessions will provide you with the skills you need to help you navigate Workday. You can ask questions during the sessions.
- If you want to practice your computer skills, you can attend Cultural Linguistic Services (CLS) Workplace Learning open computer labs. Learn more on the CLS Workplace Learning webpage.
- Employees can access Workday on a smartphone or computer.

After-training checklist: 
- Check in with employees to ensure they understand the basics of Workday.
- Be prepared to answer questions or provide resources.
- Dedicate time each week to reinforce what they learned during the training. Practice using Workday and encourage employees to ask questions. If you don’t know the answer to a question, tell employees that you will ask your local HR professional.

Frequently Asked Questions (FAQs):
- What if an employee cannot attend a session?
If an employee is not able to attend a session, there may be an opportunity for makeup sessions August 11-15. Cultural Linguistic Services will be available for translation support. More information about this will be communicated as it becomes available. - What if an employee needs extra support after training?
Employees who need more help are encouraged to attend the Cultural Linguistic Services (CLS) Workplace Learning open computer labs. Find more information on the CLS Workplace Learning webpage.  Supervisors should work with their local HR professionals. If you have a group of employees who need to attend the session, feel free to contact CLS in advance. - What if an employee has trouble using a computer or smartphone?
