Apply for Jobs at UW-Madison as an External Applicant

Jobs at UW is the official job listing site for the University of Wisconsin–Madison. The jobs website provides a list of all currently available positions. You can search and apply for career opportunities from your phone, tablet, or computer. 

   

Search for Jobs

At www.jobs.wisc.edu, you can search for jobs in 2 different ways:

  1. Click the 'Browse All Jobs.'

    You will see a list of all available jobs.

    Click the titles to learn more about each job.
  2. Search by keyword. In the search bar, enter title, location, or a different search term and click ‘Search.’

Use Filters

Narrow the list of jobs (make the list smaller) with filters. Click the checkbox to the left of the filters you want:

  • Employment Type
  • Category
  • Location

When you click a checkbox, the list updates automatically. Click the checkbox again to remove the filter.

Example: If you click ‘Browse All Jobs,’ you will see a list of all available jobs. You can use filters to see only full-time jobs in Madison, WI.

Apply for a Job

If you want to apply for a job:

  • Click ‘I am not a current employee.’
  • Enter your First Name, Last Name, and Email address in the ‘Apply Now’ box.
  • Click ‘Apply Now.’
  • You will see the job application.

Apply Manually
Step 1

Click 'Apply Manually.' Create an account or sign in to your existing account.Screenshot of the Create Account screen.

  1. Enter your email address.
  2. Create a password.
    1. The password must be a minimum of 8 characters, including a lowercase letter, a special character (i.e., ! or * or %), an uppercase letter (i.e., E, T, G), an alphabetic character (any letter), and a numeric character (any number).  
  3. Use this email address and password every time you apply.
  4. Click the red 'Create Account' button.

Note: You can create an account using the social sign-in option. When you choose this option, you'll go to another site to sign in. After you sign in, you will be brought back to your Workday candidate account.social sign in screen

You can use these social sign-in options:

  • Google
  • Apple (users who have enabled the "Hide My Email" feature may not receive email notifications. Messages may be directed to your spam or junk folder.)
  • LinkedIn
Step 2: My Information

Fill out 'My Information.' 

  • You must complete all fields with a red asterisk (*).
  • Click 'Save and Continue.'

The first question in 'My Information' is 'How Did You Hear About Us?'My Information, How did you hear about us question

Select a category that best matches how you first heard about this job, then choose the closest option within the category.

Example: Websites > UW Jobs Site

Fill out the rest of the 'My Information' section.

Step 3: My Experience

Go to 'My Experience.'

  1. Follow all instructions in the 'How to Apply' section of the job posting. Make sure to read this section so you know which documents are required to upload. Common examples include a resume and a cover letter. 
  2. Upload your application materials by clicking 'Select files' or by dropping files from your computer into the gray box.My Experience - application material upload
  1. You will see files that uploaded successfully in the gray box.

  2. If you want to remove a file, click the trash can icon.
  3. Click 'Save and Continue' after you upload all your materials.
Step 4: Application Questions

Answer the required questions, then click 'Save and Continue.'  application questions screen

Choose if you want to request confidentiality.

Note: If you do not request confidentiality, UW might have to share your identity and application materials during an open records request.

Step 5: Voluntary Disclosures and Self Identify

The federal government requires us to collect information about job applications; however, completing the ‘Voluntary Disclosures' and 'Self Identify’ forms is voluntary.

  • You do not have to answer these questions.
  • Your answers are confidential.
  • We do not share your answers with hiring committees.
  • We do not use your answers to decide if you are eligible for a job

Step 6: Review

View Your Applications

Applicant Account Overview

After you submit your application, you will automatically go to your applicant account.

In your applicant account you can:

  • view your active and inactive job applications.
  • view your application status.
  • view jobs that are like the jobs you applied for.
  • apply to other jobs.

Change Your Email Address

Change Your Email Address
Step 1: 

Log in to your account.

Click the 'Settings' gear icon.

Step 3: 

Click 'Change Email.'

Step 4: 

Enter an updated email address and click 'Send Link' to verify the account change.

Step 5:

Interview Scheduling and Details

If you are selected for an interview, the hiring unit will contact you via email and/or phone. They will either schedule a time with you directly or use the system’s scheduling tool so that you can choose your interview time.   Check your email and/or log into your applicant account to respond to an interview request in a timely manner. If you have any questions, contact the recruiter. The recruiter’s information can be found in your applicant account under ‘My Applications.’

Interview Scheduling Tool

If the interview scheduling tool is used, you will receive this email:

Subject: Invitation to Interview - Job Posting Title 

Candidate Name, 

We would like to invite you to an interview for the Job Posting Title position at the Institution Name. To schedule your interview, please log into your Candidate Home account and go to your ‘My Tasks’ section and follow the on-screen instructions.

When you log in, you will have a ‘Candidate Self-Schedule Event’ task on your dashboard: self schedule event task

Self-schedule Event
Step 1: 

Click the 'Schedule' button. The 'Candidate Self-Schedule Event' screen will appear.

Step 2: 

Choose an interview time from the 'Select Your Available Date' dropdown menu.

If none of the available interview times work for your schedule, click the ‘None of the Available Options Work for Me’ checkbox or contact the recruiter. The recruiter’s information can be found in your applicant account under ‘My Applications.’choose date and time for scheduling your interview event

Step 3

After choosing an available interview time, a confirmation message will appear.interview confirmation message

You can view the interview details from your Candidate Home screen. Click the link under My Scheduled Events: my scheduled events screen

You can Reschedule or Cancel the interview from this screen as well.

Withdraw Your Application

Withdraw Your Application
Step 1: Action Menu

Step 2: Withdraw
  1. Go to ‘My Applications.’
  2. Click the menu (3 dots) under the ‘Actions.’
  3. Click ‘Withdraw Application.’

Read the pop-up message and click:

  1. ‘Withdraw’ to cancel your application.
  2. ‘Cancel to keep your application active and continue applying for the job.

If you withdraw, your application will move to the 'Inactive' tab in 'My Applications.' Screenshot showing the inactive tab.
