Assign New Hires to Compliance Training (Learning Partners)

Managers or Learning Partners will assign compliance training to new hires in Workday. Although Managers and Learning Partners are able to assign compliance courses to existing employees, in most cases, these courses will not need to be manually assigned to existing employees (see HR Guide for Managers - FAQ section).

Use the steps below to assign Compliance Training to your direct reports. For non-compliance training, reference the Enrolling Employees in a Non-Compliance Course.

  1. From the Workday Home Page, use the search bar to search for and select the Find Workers to Enroll report.

  2. To search for learners, you can:

    1. Use the search bar under Find Workers to Enroll.
    2. Use multiple filter options such as job profile, location, supervisory organization, management level, or worker type. 
  3. Select the employee/employees to whom you want to assign training.

    1. Note: If you have a large number of employees to enroll, please submit a Get Help ticket.
  4. Click Select Learners.

  5. Search for the learning you wish to assign. 
    Hint: start your search with UWMSN for Madison compliance courses. (Examples: UWMSN Prevent Sexual Harassment, UWMSN Responsible Employee) 
  6. Click on the desired course.
  7. Click Yes to Assign as Required Learning. If the training is marked as required, the Learner will be unable to drop the enrollment.

    Note: only compliance/required training courses should be marked as “required.”
  8. Select Due Date.

    1. Due Date Type: Duration

    2. Duration Unit: Days

    3. Duration: see Compliance Training and Retraining Timeline chart for due date duration

      1. Select correct length based on course assigned

  9. Select which employees to enroll by clicking individual employees or by clicking the select box above the column to select all. Screenshot showing checkbox that allow you to select applicable employees and the submit button. 

  10. Click Submit.

    Note: You can confirm the assignment by viewing employee transcripts. 

    • From the Workday home page, type the name of the employee.

    • Select the employee you wish to view.

    • On the employee record, click the Career tab on the left side.

    • Click Learning to view the employee’s transcript.

    • The training you have assigned will show as “Not Started” on the employee transcript.
