Create and Post Job Checklist

Overview

This checklist should be used to audit the job requisition creation and post job task to ensure policy and best practices are followed before the job is posted to the employment website. 

Please review the additional resources listed at the bottom to draft, create and post a job requisition on the employment website.

Create Job Requisition:

  • Recruiting Instruction: informs where the job must be posted.
    • Post Internally and Externally: use for standard (open) recruitments. 
    • Post Internally Only: use for internal recruitments open only to current Universities of Wisconsin, UW-Madison or your school/college/division employees, and has been pre-approved by Talent Acquisition and the Office of Equal Employment Opportunity and Compliance Programs. 
    • Post Externally Only: use for 3rd party/search firm recruitments.   
  • Recruiting Start Date: best practice is the date of creation.  
  • Justification: Include the JTAP form number and the date you received Criticality approval, if required. 
  • Job Description: include an overview and job summary information (FTE, appointment duration, work schedule, etc.).  
  • Job Qualifications and Additional Details for Job Posting:
    • Department: Division, Department, Sub Department, Lab or Unit. Example: College of Letters & Science, Linguistics, Sign Language Lab.
    • Do not add, remove, or edit headings.
    • Place your cursor below each heading to type text or paste from another source, such as a Word document.
    • Use bullet lists for accessibility.
    • All text (minus headings) should be 'normal' font. Headings should remain 'Heading 2' font.
    • Avoid using bold, italics, all caps, or underlining text.
  • Time Type: select Full time or Part time. If job could be full or part-time, leave this blank.
  •  Questionnaires
    • Use Madison Baseline Questionnaire for both Internal Career Site - Primary and External Career Site - Primary.
    • If using a secondary questionnaire, review the Questionnaires in Job Requisition to select the right one. 
  • Qualifications
    • Remember: must manually add Responsibilities for titles with no Standard Job Description.
  • Attachments

Post Job:

  • Job Posting Site: must match the Recruiting Instruction from the job requisition. In most cases, the job will be posted on the Internal and UW Madison External Career Site.
  • Click Preview Job Posting. This will allow you to review and make any corrections before posting to the employment website.
  • Job Application Template: in most cases, this does not need to be changed, and will default to a single 'Application Materials' dropbox.
  • Select Dates: 
    • Start Date: auto-populates to today's date.
    • End Date: enter application deadline. 
      Important: To accommodate Workday programming, the start and end dates must meet the minimum job posting periods requirement plus one day because the job posting will be removed from the employment website at 11:59pm the day BEFORE the end date. Example: 14 day posting period has the start date as 2/2/2026 so the end date must be 2/17/2026 because the posting will be removed on 2/16/2026 at 11:59pm. 
    • Primary Posting: always check this box next to the UW Madison External Career Site. 

Review on Employment Website:

  • The job will be posted on the employment website about 45 minutes after completing the post job task. Visit jobs.wisc.edu to review the job posting.
