FAQ Compliance Courses at Workday Go-Live

This document outlines frequently asked questions about compliance courses in Workday. Click on the plus sign (+) to see answers. 

   

What courses will be live in Workday on 7/7/25?

    • Prevent Sexual Harassment and Sexual Violence
    • Responsible Employee
    • Campus Security Authority
    • HIPAA Privacy and Security*

When will Cybersecurity training be live in Workday? 

Cybersecurity will be live on 8/15/25. 

How will employees find the courses they need to take? 

Compliance courses will not be visible in the Workday Learning catalog. Employees will be assigned the courses and will see them on their Workday Learning dashboard (and on their main Workday dashboard if the due date is within two weeks). 

How will employees be assigned compliance training? 

New Hires

New hires will be assigned compliance training through a Workday process by either their manager or someone designated as a Learning Partner (supervisory) role. 

Existing Employees

Existing employees, in most cases, will not need to be assigned compliance courses. We will be loading the most recent completions (minus HIPAA) for employees into Workday during the week of go-live. Workday will use the last completion date to calculate a new due date and then reassign the training during the window specified on the course. So, for example, if an employee last completed Responsible Employee training on 9/1/2025, they will be given a new due date for that training of 9/1/2026 (per policy). Thirty days prior to that new due date, they will be notified that it is time to complete the training (both in Workday notifications and through emails) and they will receive regular reminders until the training is completed. 

Will Workday send notifications?

Employees will receive several automatic notifications, both in Workday and via email for compliance course assignments. These notifications will send one day after a course is assigned, and remind them weekly up to the due date and weekly past the due date until the training is completed. These reminders will be set up during the week of go-live. 

What do I need to know at go-live? 

Course completions up to 5/15/25 will be loaded when Workday goes live on 7/7/25. We are not able to upload completions from 5/15/25 to 6/14/25 until the week of 7/7/25. Some employees may see that they have an overdue assignment, even if they completed training during mid-May to mid-June. In these cases, we ask employees to be patient and check back during the rest of the week of 7/7/25.
