Tip Sheet: New Affiliate Appointment

Affiliate appointments must be added as a standalone business process since they are not triggered in any other Business Process. Add Academic Appointment can be initiated by navigating to the Job Profile > Actions > Academic Faculty > Add Academic Appointment. More information can be found in the Managing Academic Appointments in Workday Job Aid.

Key Details to Check and Populate

  • Start date: Based on internal approvals
  • Academic unit: Select appropriate academic unit
  • Employment position: Select employment position

Appointment Information

  • Track type: 
    • Joint Governance: Faculty
    • Joint Governance: Academic Staff (including Visiting Professors)
  • Reason: Select Add Academic Appointment > New Appointment > Additional Appointment
  • Rank: Select appropriate rank (if Faculty), which will automatically fill in Title
  • Title: Created by choosing the appropriate rank, or if Academic Staff, fill in employee’s title 
  • End Date: Populate the end date of the appointment. Per FPP 5.12 and 5.13, these affiliate academic appointments can only be granted for up to three years and are renewable.
  • Select Identifier:
    • Affiliation: Governance
      • Faculty or Academic Staff: confers no rights to participate and vote in departmental meetings
    • Joint Department: Governance
      • Faculty or Academic Staff: confers rights to participate and vote in department meetings
    • Joint Executive: Governance
      • Only for tenured Faculty: confers rights to participate and vote in department executive committee meetings
  • Roster Percent: 0%

Appointment information highlighted including track type, reason, rank, title, end date, identifier, and roster percent.
