Tip Sheet: Retroactive End Job and Inactivate Contract Step

The following tip sheet outlines how to avoid losing access to the contract inactivation step when retroactively processing an End Job.

Description of Issue 

When HR processes a retroactive End Job, the employee is removed from the supervisory organization as soon as the business process is approved. As a result, HR may lose access to complete the contract inactivation step within the End Job business process. Inactivating a contract timely is important to ensure benefits end properly.

Solution

When ending a position retroactively, first inactivate the contract using a standalone process. Once the contract has been successfully inactivated, initiate the End Job business process.

Note: This process should not be used to extend contracts. Extensions must be processed through Change Job>Expected Job End Date Change  

Standalone Process to Inactivate a Contract 

  1. Navigate to the Employee Contracts page to edit contract that needs to be inactivated
    • Click Actions
    • Hover over Job Change
    • Click Employee Contracts

  2. Select Edit next to the contract you want to inactivate
  3. Effective Date and Contract End Date: Change to match the End Job effective date
  4. Status: Change to Inactive

  5. Click Save

If you process an End Job business process and are unable to inactivate the contract, please submit a ticket to GetHelpUW and OST can inactivate it.
