Email Template: PMDP Cutover Action Required

This page provides a sample email communication that HR representatives can share with supervisors to instruct individuals to open summary evaluations in Performance Management Development Program (PMDP). It is recommended that each school, college, or division (S/C/D) using PDMP communicate the need to open summary evaluations by June 30.

S/C/D can use this as a template and tailor to their audience.

Subject: Important Action Required: Transition to Workday Performance Management

Dear Supervisors,

As we transition from our current performance review system, PMDP, to Workday Performance Management effective July 1, 2025, we need your cooperation to ensure a smooth changeover.

Key Action Required:

  • Open Annual Evaluations in PMDP:
    • Deadline: Before July 1, 2025
      • Recommended window to open evaluation in late May or June 2025
    • Details: All supervisors responsible for conducting annual evaluations for the fiscal year 2025 (July 1, 2024 - June 30, 2025) must open a Summary Evaluation for their employees in PMDP by July 1, 2025. While the evaluations do not need to be completed by July 1, they must be initiated.
    • Applies to: All eligible University Staff, Non-Instructional Academic Staff, and Limited employees. 
      • Why: After July 1, 2025, PMDP will only allow view-only access for these employees. It will not be possible to open new reviews in PMDP after this date. You will only be able to close any reviews that are already open.

Additional Considerations:

  • Supervisor or Job Changes: If a supervisor opens a review and the employee subsequently transfers or gets a new supervisor, it could create complications. Therefore, it is advisable to wait until May or June to open the reviews to minimize potential issues.
  • Probation/Evaluation Period: A separate message will be sent to supervisors of employees on their probation/evaluation period as there may be special considerations for completing their reviews.

Additional Information:

  • Final PMDP Review: All University Staff, Limited, and Non-Instructional Academic Staff should complete their final PMDP review by October 1, 2025.
  • Initial Workday set up: Supervisors will be required to input expectations and goals from the FY25 PMDP into Workday in order to prepare for the first review cycle in Workday, the midpoint evaluation in January 2026. More information to be provided in the future.
  • This information does not apply to Faculty, Instructional Academic Staff and Clinical Academic Staff.
