Business email addresses for University of Wisconsin–Madison employees are considered public data and can be provided to requesters under Wisconsin Public Records Law. Request processes and exact usage of the information is determined by different UW-Madison offices for different audiences. Use of UW-Madison email addresses by employees must comply with the University of Wisconsin Acceptable Use of Information Technology Resources policy.
Note: Only business email addresses are considered public data and made available to requesters. Employee home/personal contact information is considered confidential except for specific uses. If you need UW employee home/personal contact information, please email the OHR HRIS team to determine if that will be possible for your use case.

Human Resources
Workday will have multiple reports that include the Business Email Address. The Current Workers and Jobs (UW) report, which most HR staff with HR security roles will be able to access, includes the business email address. The OBIEE to Workday Crosswalk can also be referenced to determine other reports S/C/D HR use today to access employee data.
Research
If you intend to use UW employee business emails for research purposes (study recruitment, etc.), you must use the DoIT Mass Email service. Refer to the IRB Email Recruitment Guidelines for more information.
Campus Communications
The UW-Madison List Library is a collection of employee email lists maintained by DoIT available to university leadership and central offices. Authorized individuals may use the lists to send emails to employees that are directly related to work or employment matters. There is no cost for using the List Library.
Please contact your unit’s Communications Director or Dean/Director’s Office if you wish to send an email using the List Library.
