Milestones and key dates (subject to change)

December 2025

  • December 10: Scholarship spreadsheets for nonresident aliens determination must be sent to the Glacier team no later than 4 p.m.
  • December 12: Check Correction deadline to guarantee employees’ original W-2s reflect the correct amounts
  • December 16: Deadline for Taxable Fringe Adjustments for calendar year 2025
  • December 18: Last on-cycle pay complete
  • December 23: Christmas off-cycle complete; dated 12/24/25
  • December 24: Last on-cycle pay date in 2025
  • December 27: Last day graduating student employees may work during the fall 2025 semester.
  • December 29: Divisions must submit Declaration of Wages for Non-WI Residents Form. Forms received after Dec. 29 will not be accepted and no W-2c will be issued.
  • December 29: 1:00 PM – Deadline for Missed Payroll submissions for inclusion on 2025 W-2s.
  • December 29: 4:00 PM Deadline for Foreign National Personal/Other Data Entry in Glacier (for 1042-S forms)
  • December 29: Last off-cycle check date for 2025; dated 12/29/25
  • December 30 – January 6: Glacier Tax System will be offline for year-end maintenance.

January 2026

  • January 7: The Glacier Tax System online after year-end maintenance.
  • January 13: Final deadline for last minute Check Correction adjustments on an employee’s W-2 (not guaranteed, based on volume)
  • January 16: Deadline for Guaranteed Personal Data Changes (for ACA and W-2 data)
  • January 16: Deadline to choose electronic-only distribution of your W-2
  • January 20: Target date for starting the printing of W-2s
  • January 26: Targeted date for finish printing W-2s
  • January 30: Targeted date for employees to receive 2025 W-2s

February 2026

  • February 2: IRS postmark deadline for employee 2025 W-2s
  • February 6: Begin processing 2025 duplicate W-2 requests
  • February 13: Targeted print date for 2025 Fellowship/Scholarship Letters

March 2026

  • March 6: Targeted print date for 2024 1042-S forms
  • March 13: Targeted date for employees to receive 2025 1042-S forms
  • March 16: IRS deadline for 2025 1042-S distribution to employees
  • March 23: Duplicate 1042-S statements can be requested
